# Privacy Policy

Ryvet, Inc. ("Ryvet," "we," "us," or "our") is committed to protecting the privacy of our users. This Privacy Policy describes how we collect, use, store, and share information when you use our AI-powered estimating platform and related services (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy.

## 1. Information We Collect

### Account Information

When you create an account, we collect information such as:

- Your name, email address, and phone number
- Company name and business address
- Billing information (processed securely through our payment provider)
- Role and team information within your organization

### Usage Data

We automatically collect certain information when you use the Service, including:

- Browser type, device type, and operating system
- IP address and approximate geographic location
- Pages viewed, features used, and time spent on the platform
- Referring URLs and search terms that led you to our site

### Uploaded Content

When you use the Service, you may upload content including:

- Architectural plans, blueprints, and specifications
- Project photos and site images
- Cost library data, pricing information, and material lists
- Estimates, proposals, and related project documents

## 2. How We Use Your Information

### Provide and Operate the Service

We use your information to deliver the core functionality of our platform, including AI-powered scope analysis, bill of materials generation, pricing calculations, and estimate creation.

### Improve the Platform

We use aggregated and anonymized usage data to understand how the Service is used, identify areas for improvement, and develop new features. We do not use your proprietary pricing data, cost libraries, or estimates to train AI models.

### Communicate With You

We may use your contact information to send you service-related announcements, respond to support requests, and provide product updates. You can opt out of non-essential communications at any time.

## 3. Data Storage and Security

We take the security of your data seriously. All data is:

- **Encrypted in transit** using TLS 1.3
- **Encrypted at rest** using AES-256 encryption
- **Stored on US-based servers** with enterprise-grade infrastructure providers
- **Backed up regularly** with secure, redundant storage

We implement industry-standard security measures including access controls, monitoring, and regular security audits to protect your data from unauthorized access, alteration, or destruction. ## 4. Your Rights

You have the following rights regarding your personal data:

- **Access:** You can request a copy of the personal data we hold about you.
- **Correction:** You can request that we correct any inaccurate or incomplete data.
- **Deletion:** You can request that we delete your personal data, subject to certain legal obligations.
- **Data Portability:** You can request your data in a structured, machine-readable format.
- **Opt-Out:** You can opt out of marketing communications at any time.

To request a copy of your data, or its correction or deletion, email [hello@ryvet.ai](mailto:hello@ryvet.ai) from your account email address. We acknowledge requests within 5 business days and complete them within 30 days.

## 5. Service Providers

We do not sell your personal information. We share it only with service providers that process it on our behalf, under contracts that restrict how they may use it:

- **Hosting and infrastructure:** Supabase (database, authentication and file storage, hosted on Amazon Web Services in the United States), Vercel (web hosting), Google Cloud Storage (encrypted file backups)
- **AI processing:** Google (Gemini API) and OpenAI (API). These analyze the drawings, photos and project details you upload in order to generate bills of materials and estimates. Under their business API terms, neither provider uses this data to train its models. Files uploaded for analysis are deleted after processing, and automatically within 48 hours.
- **Maps and location:** Google Maps Platform (address lookup, geocoding, travel distance, map images)
- **Payments:** Stripe. Card details are handled by Stripe and are never stored by Ryvet.
- **Email:** Resend (account and service email)
- **Customer relationship management and support chat:** HubSpot
- **Product analytics:** PostHog
- **Error monitoring:** Sentry
- **Advertising measurement:** Google Ads and Meta
- **Bot protection:** Cloudflare Turnstile, on the Ryvet lead widget embedded on customer websites

## 6. Where Your Data Is Processed

Ryvet stores your data in the United States. Some service providers, including the AI providers that analyze your uploads, may process data in other countries under their own data protection terms.

## 7. Data Retention

We keep your account data and the content you upload for as long as your account is active. After an account is closed we keep it for 30 days so that you can export it, and then delete it. Files sent to our AI providers for analysis are deleted after processing, and automatically within 48 hours. Deleted data may remain in encrypted backups until those backups expire on their normal cycle. We keep billing records for as long as the law requires.

## 8. Information About Your Clients

Estimates you create may contain information about your own clients, such as names, job-site addresses and contact details. You are responsible for having the right to share that information with us, and we process it only in order to provide the Service to you.

## 9. Cookies

We use essential cookies to keep you signed in and keep the Service secure. We also use analytics cookies (PostHog, HubSpot) to understand how Ryvet is used, and advertising cookies (Google Ads, Meta) to measure the effectiveness of our advertising.

You can opt out of analytics and advertising at any time. We honour Global Privacy Control signals sent by your browser, and any opt-out you make through our cookie banner, as a standing instruction. When one is present, neither our website nor the Ryvet application loads analytics or advertising tools for you, and we send no advertising conversion events about you.

## 10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through a notice on the Service prior to the change becoming effective. We encourage you to review this policy periodically.
